PFW maintains a history of all invoices created. (Go to Register: Invoice History) This allows you to reprint any invoice at any time.
**** INCOMPLETE INVOICES ****
If there have been problems with the computer or network, it is possible that some data is missing. When PFW processes an invoice it first prints the invoice and then updates about 6 different databases. If PFW locks up or crashes then some data wlll not get saved.
What Is Missing?
The top portion of Invoice History
--- shows a customer name. Is the name field blank?
--- shows invoice numbers. Are there gaps in numbering? (click on show Void/Unused Invoices)
The middle portion of Invoice History
--- shows the items purchased? Are there no items listed?
The bottom right portion
--- shows taxes and how payment was made? Is this missing some information?
Unfortunately this simply confirms the fact that there was a computer problem and the data did not get saved.
SOLUTION: recreate the invoices as best you can. You may want to make one lump sum invoice per customer.
**** TOTALLY MISSING INVOICES ****
Are you missing all invoices prior to a specific date?
This is usually the result of major data corruption to the invoices.tps file. Because PFW could not deal with it, PFW created a new, blank invoices.tps file and started from that point forward.
SOLUTION:
Option 1:
1) Print out all current invoices so you will have a record of them and can enter them back into PFW later. (Keep reading because there may be other stuff to salvage as well.)
2) Then restore either
--- a) ONLY the INVOICES.TPS file from a backup. (Because you aren't concerned about stock counts and/or do not want to re-do purchase orders, adding customers, or having to re-create orders, layaways, etc.)
--- b) or restore the full backup. Remember that all that has transpired with customers, purchase orders, layaways etc. will be lost and will have to be recreated.
3) Re-enter invoices (and other stuff.)
Option 2:
Contact POSitive Support 866-368-2266 to see if there might be an invoice merge program available for your version of PFW. There may be an additional charge for this service.
